Hydro, Inc. Boosts Collaboration With Staff, Clients, and Regulators

Egnyte’s file management workflows unlocked a new level of productivity and peace of mind for the manufacturer’s engineers and IT team.

In pump manufacturing, one small error can spell big trouble on the plant floor. As the world’s largest independent pump rebuilder, Hydro, Inc.’s engineering teams are the go-to experts for clients across the energy industry, including the nuclear sector. With 16 offices around the world, the firm handles massive amounts of documentation and depends on fast file sharing to facilitate a multi-step quality assurance process. But in 2021, the firm realized its local file servers couldn’t keep up with an ever-expanding amount of data.

After considering other file management platforms like OneDrive and Dropbox, Hydro’s leadership team chose Egnyte for its streamlined quality assurance process, large-volume snapshot recovery, and Microsoft co-editing features. Now, Hydro is free to grow its footprint without constant workarounds and time-consuming workflows.

Challenge: Vast Amounts of Data Clog Local Servers

Before implementing Egnyte, Hydro’s engineers stored their SolidWorks design documents and other data on local servers. But as the company expanded, managing its massive data ecosystem became a hassle, says Chief Technology Officer Shafi Yusuff: “Our total data consumption is somewhere around 27 terabytes. Storing all of that and backing it up was a nightmare.”

Between controlling different design versions and making sure documents have secure permissions, trying to navigate everything locally or through a VPN was a headache for the company. And with a growing emphasis on serving nuclear clients that require strict regulatory adherence, this cumbersome data management system made an already lengthy quality assurance process even longer. The team knew they were in a precarious position, and decided it was time to explore new options.

Solution: Enhance File Management With Egnyte’s Document Workflows

As part of the evaluation process, Hydro considered Microsoft OneDrive and Dropbox. Egnyte was chosen primarily for its specialization in secure file management. Shafi also felt more confident in Egnyte's security against external threats and was impressed by Egnyte's focused development roadmap. "OneDrive is not the core business of Microsoft; it's one of the thousands. I didn't see that there was a roadmap where that product could become stronger as we move forward," said Shafi. This perspective contrasted with his view on Egnyte: "This is Egnyte's core, your bread and butter. You're going to invest to make it better for everybody ... more integration with apps, more AI solutions, and a focus on helping the customer. That's the key differentiator between others and Egnyte."

Initially, Hydro brought on Egnyte simply to replace its scattered file servers. “We pumped all our data into Egnyte with the intention of using it as a cloud file server with more control in terms of permissions and sharing,” explains Shafi. “But over time, it became a solution that helped us do a lot more than just store files.”

Egnyte’s AI-powered document workflows have also made it easier to collaborate with Hydro’s external partners. For nuclear facilities in particular, Shafi says it’s common to share upwards of 3,000 pages of documents at a time. Before the team started using Egnyte, finding and correcting errors in those documents was like searching for a needle in a haystack. Now, it’s almost instantaneous. And to make things easier for customers, Hydro is using Egnyte Copilot to build this repository of engineering data into a new revenue engine: a curated knowledge base. “Clients can get information in an instant and see exactly what steps have been done,” explains Shafi. “This way, they can use that information to do some of their own baseline repairs instead of sending it back to us, which would lengthen the overall process.”

On the quality assurance side, these new workflows have also sped up the approval process. Hydro’s document reviews were once a struggle, involving upwards of five team members at a time. “We’d release a document to one person, then they’d review it and comment on what needed to be changed, then it would bounce back or go to someone else,” says Shafi. “The process could repeat multiple times before it was finished.” Instead of playing this long game of back and forth, Egnyte’s Microsoft Office co-editing feature makes it possible for teams to collaborate simultaneously, directly from desktop or mobile. “If we assign a document to a group, all the group members can see it, comment on it, propose changes, and approve it.” The last piece of the puzzle for Hydro, Shafi says, is adopting Egnyte Sign, which will replace a separate tool the team had been using for e-signatures and speed up the approval process even further. And once each document has made its way to the manufacturing floor, engineers are able to stay in the loop as well, says Shafi.

Along with consolidating over 27 terabytes of data into Egnyte’s secure cloud server, Shafi says Egnyte’s Snapshot-Based Ransomware Recovery tool has been a game-changer. “On the IT side, Egnyte provides the best solution in that area. We’re able to retain files for 120 days or more, and that’s been wonderful.” 

Benefits: Safer, Faster Collaboration Among Critical Stakeholders

For Hydro, Inc.’s IT team, bringing on Egnyte was a critical turning point. Now that they don’t have to worry about constantly backing up local servers, Shafi estimates the IT team saves upwards of 16 hours each week. “We don’t have a huge IT staff, so any amount of time saved is valuable. Those old processes used to clog up the day, but now our team has the breathing room they need.” And as Network Administrator Suneel Raju Kottarathill adds, having one source of truth makes document permissions and access a breeze. “Before Egnyte, we had a Windows-based file server, so everyone had access to everything,” he explains. “With Egnyte, I can set permissions at the micro level. Ultimately, this updated data ecosystem enables Hydro to seamlessly deliver its final certifications to clients, no matter how large those files are. “We document everything that was done to a tee, because there are a lot of calculations, measurements, and pictures of each component,” says Shafi. “We have to be able to prove what changed, how it changed, and what kind of efficiency our client will gain.”

Shafi says it’s not just internal and client collaboration that has become much simpler with Egnyte. When Hydro needs to collaborate with regulators auditing its nuclear clients, teams can quickly put together files and update permissions. “We used to provide auditors with files on a thumb drive, but now we can dump everything in one folder on Egnyte and provide them with a standard user license. It’s fully paperless, which is very good for us.”

Looking ahead, Shafi says Hydro’s teams are excited to continue exploring what Egnyte can do, especially when it comes to monetizing their vast amount of data. “Egnyte helps us do a lot more than just store files,” he says. “It’s a true back-end solution for us.” As the company experiments with different Egnyte features, Suneel says Egnyte’s user support team and resources have been invaluable companions. “To put it simply, Egnyte just makes our lives easier.”

Honor Health Network, a fast-growing network of community-oriented healthcare services, was up to its ears in paper. From patient forms to job applications, the company relied on physical folders storing paper documents, with chaotic results in content management, organization, and the allocation of office space.

That all changed when the company partnered with Jotform, a web-based form builder, and Egnyte, a provider of cloud-hosted content management software. Through the elegant integration of their two services, Jotform and Egnyte digitized Honor Health’s forms and cloud-enabled its workflows, streamlining operations for 10,000 users across countless offices and patient homes.

Challenge: Find a Digital Alternative for Messy Paper Workflows

Honor Health’s reliance on paper created numerous inefficiencies that caused the amount of time the team spent on document management to balloon. It also posed serious risks of document loss and threats to data integrity.

“To share documents among our different offices and home health aides, people would have to drive from place to place to pick up their files. Less tech-savvy staff members and patients would even print out forms, fill them out, and drive to their local library to fax them in,” explains Kayla S., Service Center Manager at Honor Health Network. “Then there’s the human error issue. Files would get lost. Offices would fill up with file cabinets containing documents that were often poorly organized. Missing or incorrect data would go undetected until the next audit. This forced us to spend valuable time chasing people down and correcting mistakes.”

It was clear that, to gain better control over their files and make better use of their time, Honor Health would need to digitize. However, not just any digital solution would suffice. “As a health network, a lot of our files contain people’s PHI, PII, and other highly sensitive data,” says Matt Koveleski, Director of IT at Honor Health. “We needed something cloud-based and secure, so that we could see and control who has access to what documents and so people wouldn’t have to rely on VPN connections to access data from other offices or patients’ homes.”

Solution: Digitize Forms with Jotform, Manage in Egnyte

Honor Health had previously implemented Egnyte’s cloud-based content management system as a replacement for a physical server the team was using for active directory. “We used to have to attach a SonicWall VPN client to home aides’ and office workers’ computers, and Egnyte freed us from that,” explains Koveleski. To digitize their forms, Honor Health kicked off a two-pronged plan that involved integrating Egnyte with Jotform. Jotform embeds forms directly into websites and apps for easy online submission, nullifying the need for paper forms. When a patient, staff member, or job applicant submits a form, Jotform automatically sends the submitted data into Egnyte, where it can be managed intuitively, securely, and efficiently.

“Jotform offers tons of features, like Jotform Tables and Approvals, that really reduce the time it takes people to fill out forms,” comments Kayla. “For example, conditional logic condenses forms based on the answers people enter. When someone enters their mailing address, they can check a box that says it’s the same as their home address, and the home address field disappears. The conditional logic feature can also automatically route an email based on the office of the form filler, which is huge.”

Jotform also enabled patients and aides to complete and submit forms remotely from their mobile devices — a major benefit for a company that largely provides care at patients’ homes rather than in the office. “People can access forms via a Jotform link without needing their own account or login, and fill them out on their personal devices,” Kayla explains. “That way, we don’t have to email forms for people to print out, complete, and fax back to us.”

Once forms are submitted, Egnyte organizes and displays them in a simple folder structure that appears on users’ desktops as a common mapped file drive. This made finding and accessing files easy — even for less tech-savvy users. “If someone wants to see how many people completed a form, they can find the form within Egnyte very quickly and easily,” says Kayla.

It wasn’t just easy to find and access files. Egnyte enabled team members to share files securely as well — a critical capability for a company that handles so much sensitive data. “With Egnyte, I can control exactly who has access to which folders, and disable access at any time,” explains Koveleski. “Egnyte also alerts me to anomalies, like someone accessing a file from outside the country or someone deleting large amounts of data. There are times when we need to provide someone, including third parties, access to PHI, so it’s great to have the visibility to ensure everything is handled properly.”

Benefits: The IT Workflow Necessary for Successful Acquisitions

Since integrating Egnyte and Jotform, Honor Health Network has created efficiencies that have improved the user experience for patients and employees alike. As Kayla puts it: “The office staff is happier because they don’t have to spend time searching through file cabinets for a particular file or chasing people down to correct mistakes. Home aides are happier because it’s much easier to get forms completed and submitted. And the simple folder structure Egnyte provides means we don’t have to give everyone extra training on navigating the backend of Jotform to find files.”

The team has also enjoyed the peace of mind that all stakeholders are able to manage files securely. “Egnyte and Jotform Enterprise in combination are such a powerful force for improving our workflows,” says Koveleski. “Egnyte’s Secure and Govern features help us manage how content is shared, and Jotform’s HIPAA-specific forms allow us to keep tabs on exactly where sensitive HIPAA information is stored. Things are fast, easy, and secure across the board.”

The new workflow has even helped facilitate Honor Health’s continued growth by accelerating the process of applying for jobs there. “Applying to work with us previously involved filling out and signing each individual form in a 20-page packet,” Kayla says. “Now that it’s digitized in Jotform Enterprise, all someone has to do is enter a piece of information once and it replicates across every form where that information is needed. After it’s submitted, Egnyte makes it easy for HR to organize and access each person’s application materials.”

The Honor Health team expects the integrated solution to be a major part of their workflow going forward. “I loved Egnyte right when I saw it, and our CEO did too,” Koveleski says. “And Jotform Enterprise has been absolutely indispensable. Putting the two together is all we could ever ask for.”

Sila Services, a mid-sized HVAC, plumbing, and electrical company, has a strong record of attracting high-value capital investments to elevate their business. After the private equity firm Dubin Clark acquired the company in 2019, Sila boosted its valuation through the acquisition of several additional companies.

Engaging in mergers and acquisitions at this level requires a tremendous amount of due diligence involving extensive review of documentation, from legal, to environmental, to HR. Guided by their managed services provider, Network Coverage, Sila leveraged Egnyte to develop an easy, cost-effective, and secure workflow for the exchange of acquisition data.

Challenge: Inefficient Data Exchange Imperils Acquisition

Steve Zimmerman worked as Chief Information Officer for several platform companies owned by Dubin Clark until the acquisition of Sila Services, at which point he was put in charge of IT at Sila as CIO. With experience both in IT and private equity, he knows how critical – and challenging – the due diligence process is ahead of an acquisition.

“We’ve purchased 21 companies. In each case, we had to review their IT platform, payroll info, financial statements, and myriad other documents spread across Word docs, Excel spreadsheets, PowerPoint decks, you name it,” Zimmerman explains. “When we first began making these acquisitions, we had to pay to access this information through a secure data room provided by a third party. Doing this for each acquisition would have been cost-prohibitive.

To bypass the third-party data rooms, the team tried using VPNs to connect each acquired company’s file server and directory to Sila’s Citrix instance. But this created headaches of its own: “To adjust access permissions to a document, we’d have to go through cumbersome, time-consuming manual processes like writing a Group Policy Object,” says Dustin Krauss, Director of Service Operations at Network Coverage.

This permissions issue was critical. “There’s a lot of scrutiny around security during acquisitions,” Zimmerman explains. “We’re dealing, potentially, with people’s personal health and financial information. Plus, companies typically want to be discreet about their ongoing acquisition activity.”

Solution: Build a Secure Portal for Exchanging Data in Egnyte

The Sila Services and Network Coverage teams evaluated Egnyte’s content management system, conducted a rigorous cost-benefit analysis, and concluded that Egnyte was ideal for facilitating communication in M&A situations. “Several of our clients already used Egnyte,” Krauss says. “So I’d seen how effective it is for file sharing and collaboration.”

Zimmerman struck a similar note regarding Network Coverage: “Dubin Clark had had successful experiences with Network Coverage at several of our subsidiaries. I knew I could trust their IT recommendations at Sila.”

Sila set up Egnyte as a secure, centralized, cloud-based data portal where the variety of stakeholders in an acquisition can quickly upload and review all the information. “The portal served as the go-to place for parent companies and subsidiaries, as well as attorneys and auditors, to load and review documents,” says Zimmerman.

The team programmed the Egnyte system to send real-time email notifications to internal and external stakeholders each time someone uploaded a relevant document for review. This allowed everyone to stay apprised of developments during the acquisition. As Zimmerman explains: “Our partners want to see progress. An acquisition can take months to complete, and these alerts help move the review process along. If, say, a document indicates a company carries high insurance costs and thus calls the acquisition into question, we want that document to be seen sooner than later.”

After uploading the data, Sila leveraged Egnyte’s granular access permissions functionality to keep that data secure and ensure that only the proper stakeholders can access it. As Zimmerman explains: “I can give someone access to a particular document, but limit that access to a specific folder or set of folders within a data room, rather than an all-or-nothing situation.” This allowed Sila to further engage in M&A activity while maintaining the proper guardrails around sensitive personal and proprietary information.

All the while, the Egnyte platform has offered an intuitive user experience – a major benefit for less tech-savvy users. “Once we built the portal, all we had to do was send out invitations to people we wanted to give access to,” says Zimmerman. “And Egnyte makes it easy for individuals of all IT skill levels to upload all sorts of data.”

Challenge: High-Stakes Security Demands Powerful Technology

When it comes to physical and digital security for Optimal Risk’s clients, the stakes couldn’t be higher. “The organisations we advise include critical national infrastructure that provide vital public services, like processing clean water and transporting natural gas,” explains Mike O’Neill, Group Managing Director at Optimal Risk Group. “What keeps the operators of these assets up at night is the idea of their information being insecurely passed between stakeholders, which could make that information vulnerable to attacks by adversaries ranging from lone threat actors to hostile foreign governments.”

“Some of the other assets we protect are private residences ranging up to $250 million in value,” adds Rick Mounfield, Director at Optimal Risk. “Working with these homeowners involves handling a great deal of personal information, including multiple addresses, businesses, and personal travel details. They rely on us to provide total assurance that this highly sensitive information is secure.”

But the tool the team was using for data security, Microsoft SharePoint, wasn’t providing these critical assurances – neither to Optimal Risk nor to their clients. “We have a dispersed global workforce, which involves a lot of data changing hands,” comments Mounfield. “Our growth has increased the complexity of our projects and with that comes risks through data sprawl. We needed a tool that could keep that data isolated and well-governed, and SharePoint wasn’t fulfilling that need.”

Solution: Strong, Demonstrable Data Protection Through Egnyte

During Optimal Risk’s trial period with Egnyte, Mounfield realized the platform was the powerful cybersecurity solution Optimal Risk was looking for. “It was an easy sell to get Egnyte implemented across the organisation, from our consultancy to our environmental crime enforcement business to our training business,” he says.

The team found it easy to migrate files into Egnyte from SharePoint and to build a unique folder structure that fit their data management workflows. From there, they leveraged a suite of features to keep data well-protected and governed and provide stronger confidence to Optimal Risk’s clients.

  • Content Lifecycle policies
    The team used Egnyte to set policies for the automatic archival or deletion of sensitive files after specified intervals. As Stephen Haslett, Director of Cyber Investigation and Digital Forensics at Optimal Risk, puts it: “We’re able to confidently tell clients, for example, that certain files will be deleted after 30 days, after which only the client will possess that file. This conveys that the risk of anyone accessing the file through Optimal Risk is essentially nonexistent.”Egnyte also facilitated strong, detailed oversight throughout the content lifecycle. “Every time a folder or file is viewed, clicked, downloaded, or shared, we can see when it happened and who was involved,” Haslett says. With this level of visibility, Optimal Risk’s clients can confirm, easily and at any time, that data has never fallen into the wrong hands.
  • Secure access to content
    Egnyte’s secure link sharing and granular access permissions management gave the team full control over who could access highly sensitive data. “We can invite specific individuals to specific folders where they can view, download, or upload files, and set policies to prevent others from accessing that folder,” explains O’Neill. Haslett adds: “We can also share individual files with clients through secure, controlled links that only they can access, and that expire after a certain interval.”
  • ISO 27001 compliance
    With cyberattacks on the rise, firms like Optimal Risk are in jeopardy of losing clients if they don’t comply with ISO 27001, the global standard for information security management. The visibility Egnyte provided into how content was managed, accessed, modified, and exchanged enabled the Optimal Risk team to demonstrate their adherence to ISO 27001. Stuart Crighton, Senior Consultant at Optimal Risk, also recognized the ways Egnyte could be used internally to further strengthen the company’s compliance. “Within Egnyte, I can see exactly who has read a given document that’s necessary for ISO compliance,” Crighton says. “I can also see who hasn’t read it yet, so I can give them a nudge.”

Virtua Consulting, an IT consulting firm and member of the Egnyte Partner Program with clients across the United States, had a good thing going. They had set up their largely Mac-based clientele with a file-sharing system that was perfectly suited to on-site workflows, and were able to make quick adjustments, without any disruption, when Apple changed their product offering.

Enter COVID, and on-site workflows suddenly felt like a thing of the past. “When the pandemic forced us to switch everyone to a work-from-home model, we knew we would need a cloud-based solution to keep things running smoothly,” explains Justin Esgar, Chief Executive Officer of Virtua Consulting.

Challenges: VPN Hinders Universal Work-from-Home

When Virtua’s clients switched to remote workflows after the pandemic began, Virtua initially kept their existing VPN in place – and for a time, it worked. “The system had its own built-in operating system, and our clients were able to keep working after they switched to work-from-home with no major disruption, at least at first,” Esgar explains.

Soon enough, however, the solution began to show signs of strain. “We started hearing complaints about the system not being fast enough,” Esgar says. “Our clients were dealing with a lot of lag time – and to be honest, this wasn’t much of a surprise. The VPN had a pipeline that was built for maybe three or four users to work from home at the same time. But our clients didn’t have just three or four remote users. They had up to a hundred, or even more.”

It was clear that VPN access could not meet the demand for remote functionality that the pandemic had produced. Esgar knew he would need a cloud solution that could enable remote collaboration at a large scale – while simultaneously ensuring security and access governance.

Solution: Faster, More Secure Workflows Through the Cloud

When Esgar considered Egnyte as an alternative to their VPN, he immediately recognized it as the ideal solution. “Egnyte was the only solution we pitched to our clients,” he explains. “For one thing, it’s cloud-based, which we knew would help with the remote-work issue. It also has so many great features built in that I knew would make productivity and security top-notch for my clients.”

For Esgar, the most valuable features of the Egnyte system are:

  • Speed. Using Egnyte, entire companies can access their network remotely, without lag time. Esgar comments: “Our clients don’t have to VPN into the office and worry about how fast the internet is there. Everyone can work from home, or from anywhere, and easily connect to Egnyte in the cloud.”

Egnyte alerts admins to any usual behavior that may pose a security or compliance risk. “With Egnyte, our clients can make sure nothing is happening from an issues standpoint,” Esgar says. “For example, no one wants to find out the person who quit yesterday deleted a bunch of files on the way out. This helps our clients strengthen their security, as well as their regulatory compliance.”

Esgar also points to the ease of sharing and requesting files, the flexibility to access the system via web or mobile app, and the many available integrations as features that made Egnyte the best solution for Virtua’s clients. “All of these bundled together made Egnyte the clear choice,” he explains. “It was really easy for us to tell our clients: ‘Egnyte is the best solution for you moving forward, whether you stay remote, go back to the office full-time, or adopt a hybrid model.’”

When Virtua set up their clients with Egnyte, the ease of implementation enabled them to get up and running quickly. As Esgar says: “Switching to a new system involves renaming and uploading a plethora of files stored in the previous system. This is normally very time-consuming. But with Egnyte, we were typically able to get our clients set up in about two and a half weeks.”
